What IT teams need to know before connecting Spottune
A retail audio rollout is not only a sound decision. For many brands, it is also an IT decision. Before any new device is connected in a store, the IT team needs to know what it is, why it needs network access, and how it can be approved safely across locations. That is a fair question.
Spottune is built for commercial environments where IT, operations and brand teams need to work together, especially when the same audio setup is rolled out across many stores. This article gives IT teams a clear overview of what to consider before connecting Spottune Stream to the network.
What is connected to the network?
In a Spottune system, the central network-connected device is the Spottune Stream. The Stream is the transmitter. It handles the audio input, sends audio wirelessly to the Spottune speakers, and connects to Spottune Cloud when online management is used.
The speakers themselves do not connect to the store WiFi. Audio is sent from the Stream to the speakers using a dedicated wireless audio link based on DECT technology in the 1.8 to 1.9 GHz range, which keeps the audio system separate from crowded WiFi networks in retail spaces. For IT teams, this matters: the store WiFi is not carrying audio between the speakers. Network access is mainly relevant for the Stream, Cloud features and online management.
Why does Spottune Stream need network access?
Spottune can be used in different ways. For local audio playback, the Stream can receive audio from inputs such as AUX, USB or other supported sources with no network connection required at all. When the Stream is connected to the network, Spottune Cloud can be used for remote management and control. Cloud is optional and free, and it gives brand and operations teams a better overview of the audio setup across locations without needing to be physically present in every store.
Typical use cases include checking system status, managing music and volume across locations, setting time routines, supporting stores remotely, and keeping the audio experience consistent across a retail network. For larger brands, this is often the real value. It is not just about playing music in one store. It is about making sure the same brand experience can be managed across many locations, the same principle Rains uses to run 48 stores from a single dashboard.
Pre-approving Streams by MAC address
One of the most common IT questions is simple: which devices need access to our network? Spottune can help answer this before installation. When a brand places an order, the MAC addresses of the relevant Spottune Streams can be shared with the IT team before the rollout begins, which makes it possible for IT to pre-approve the devices in advance.
For larger rollouts, this can make the process smoother. Instead of approving devices store by store during installation, IT can prepare the network before the equipment arrives on site. This is especially useful when a brand is rolling out Spottune across multiple stores, each store has strict network access rules, only approved devices are allowed on the network, the IT team wants device visibility before installation, or the installation partner needs a faster on-site process. This helps reduce friction between IT approval and store installation, and gives the brand a clearer process before the rollout starts.
A simple process for IT approval
A typical IT approval process follows five steps. The brand or partner confirms the rollout scope, including the number of locations and Streams. Spottune or the partner shares device information, with the relevant Stream details, including MAC addresses, prepared for the IT team. IT pre-approves the devices, whitelisting or approving the Streams according to the brand's internal network policy. Installation takes place on site, with the installation partner connecting the Stream according to the agreed setup. And the system is managed through Spottune Cloud once online, depending on the Cloud setup and user access.
This is a practical way to keep IT in control while still making the rollout efficient.
What IT teams usually want to know
Every organisation has its own requirements, but in retail rollouts, IT teams often ask the same types of questions before approval.
What device connects to the network? The Spottune Stream.
Do the speakers use store WiFi? No. The Stream sends audio wirelessly to the speakers using dedicated DECT-based audio transmission.
Can the devices be identified before installation? Yes. The MAC addresses of the Streams can be shared before installation, so IT can pre-approve them.
Is Cloud required? No. Spottune Cloud is optional and free, used for remote management, monitoring and online control when a brand wants it. The setup can be planned according to the brand's needs.
Can the system support multi-location rollouts? Yes. Spottune is designed for commercial environments where brands need consistent audio across multiple locations, as shown across Bolia, Rains and River Island.
Who should be involved before rollout? For the smoothest process, involve IT, retail operations, the installation partner, the local store team, and the Spottune partner or project contact. When these teams are aligned before installation, most issues can be avoided.
Why this matters in retail
Retail environments are busy. Installations often need to happen outside opening hours. Store teams may not have technical knowledge. IT teams may not be on site. Partners need clear instructions before they arrive. That is why preparation matters.
For a single store, network approval may be simple. For 20, 50 or 200 stores, it becomes a rollout process. Having MAC addresses available in advance gives IT teams a practical way to prepare, helps the installation partner avoid delays, and helps the brand keep control over what is connected to the network.
A better audio rollout starts before installation
Good sound is part of the customer experience. But for larger retail brands, good rollout planning is just as important. Spottune helps bridge the gap between brand, operations, IT and installation partners. The system is simple to install in the store, but it also gives IT teams the information they need before devices are connected. That makes it easier to scale audio across locations, with less uncertainty and fewer surprises on installation day.
